How to manage product stock levels, receiving, and write-offs

How to enable and configure warehouse management

Enable stock management

Go to Administration → System Settings. Enable the Product Stock Management option.

Enable warehouse usage

On the same page, enable Use Warehouses. This will allow managing multiple warehouses.

Create warehouses

Go to Warehouses and add additional warehouses (e.g., Main Warehouse, Vilnius Store, Kaunas Store).

Assign products to warehouses

In the product card, enable Manage Stock and Use Warehouses. Set initial stock levels.

Warehouse management is available in the Smart (Smart+) plan.


Check Quantities

How to view and monitor product stock levels

Paysera POS allows you to see product stock levels in real-time - both total and by individual warehouses.

View total stock

In the product list (Products → Products) you see each product's total stock.

Stock by warehouse

Click on a product and in the Stock section you'll see how much product is in each warehouse.

Low stock alerts

Set a minimum threshold in the product card. The system will warn when stock reaches this level.


Replenishment and Write-off

How to add new products and write off damaged ones

Product movements allow you to manage product flows: receiving increases stock, write-off decreases it, transfer moves between warehouses.

Create a product movement

Go to Products → Product Movements → Create New.

Select operation type

Receiving - you received new products. Write-off - products are damaged or expired. Transfer - moving products to another warehouse.

Select products

Add products and specify quantities. You can add multiple products at once.

Specify reason (for write-off)

When writing off products, specify the reason (damaged, expired, etc.).

Confirm operation

Click Save. Stock levels will be automatically updated.

Frequently Asked Questions

Can I have multiple warehouses?

Yes! You can create an unlimited number of warehouses and manage each one's stock separately.

What happens if I sell more than I have?

You can set the Pre-order capability in the product card. This will allow selling even when stock is zero.

Can I see product movement history?

Yes! In Products → Product Movements section you'll see the history of all operations with dates, quantities, and responsible persons.
